Privacy Policy
This policy explains what personal data Kalamo collects, why, who it is shared with, and the rights you have over it.
Who we are
Kalamo is a live speech-translation service at kalamo.ai. It is operated by Profesionalūs audiovizualiniai sprendimai, MB (Mažoji bendrija (MB), Republic of Lithuania), trading as ProConf. For the personal uses of Kalamo described below, we are the data controller.
- Company: Profesionalūs audiovizualiniai sprendimai, MB
- Registration code: 303469970
- VAT code: LT100009037213
- Registered address: Dvaro g. 112, Vėlybniškių k., Vilniaus r., Lithuania
- Contact: kristijonas@proconf.lt
What this covers
This policy covers two ways Kalamo is used:
- Personal translation. An individual opens Kalamo on their device and translates speech for themselves. Here we are the controller of your account and billing data.
- Organization rooms. A school, university, parish, business, or similar subscribes and runs a room so an audience can follow a talk in their own language. For the audio and content processed inside a room, the organization is the controller and we act as its processor under our Data Processing Agreement. This policy still describes how we handle that data technically.
Data we collect
We collect as little as the service needs to work.
| Category | What |
|---|---|
| Account and sign-in | Your email address, and for organizations the organization name. Sign-in uses one-time email links, so we do not store passwords. |
| Billing | Name, billing address, country, and VAT id you enter at checkout, plus a payment-provider customer reference. Card details are handled directly by Stripe and are never seen or stored by us. |
| Service data | Rooms you create and their settings (languages, timestamps), and aggregate usage counts used for billing limits and reliability. These hold no conversation content. |
| Technical data | Standard request data such as IP address and device or browser type, processed transiently by our infrastructure to deliver the service and keep it secure. |
Your audio and transcripts
This is the heart of the service, so we are precise about it.
- Audio is processed only to translate. The audio Kalamo captures is sent to our AI translation provider to produce the translation, and is not stored by us afterward.
- We do not keep your conversation. Personal-translation transcripts live only on your own device, and are yours to download or delete. We do not retain them on our servers.
- Never used to train AI. Translation runs under enterprise terms that forbid using your content to train AI models. Our provider may briefly retain content solely to detect abuse and keep the service safe, never to train, and only for a short period under access controls.
How we use data
- To provide live translation and the features you use.
- To take payment, issue invoices, and apply plan limits.
- To send service messages such as sign-in links, receipts, and pass-recovery links.
- To keep the service secure, prevent abuse, and fix problems.
- To meet our legal and tax obligations.
We do not sell your personal data, and we do not use it for third-party advertising.
Legal bases
Under the GDPR we rely on:
- Performance of a contract - to provide Kalamo and the plan you bought.
- Legitimate interests - to secure the service, prevent abuse, and understand aggregate usage. We balance these against your rights.
- Legal obligation - to keep accounting and tax records.
- Consent - where a specific feature asks for it, such as access to your microphone, which your browser controls and you can withdraw at any time.
Who we share data with
We use a small set of vetted providers (sub-processors) to run Kalamo, each under a data-processing agreement. The current list, what each one does, and where it operates is published and kept current at kalamo.ai/legal/subprocessors. We may also disclose data where required by law, or to protect our rights and users.
International transfers
We process data in the European Union wherever we can. Some providers may process data in the United States, for example as a failover for translation or for payment processing. Where that happens, the transfer is covered by the European Commission's Standard Contractual Clauses or an equivalent approved safeguard.
How long we keep it
- Audio: not retained by us after the translation is produced.
- Transcripts: kept only on your device, not on our servers.
- Account and billing records: kept while your account or pass is active and afterward only as long as needed for legal, tax, and accounting duties.
- Sign-in and recovery links: single-use and short-lived (they expire within minutes).
- Aggregate usage: kept for billing and reliability; it contains no conversation content.
Your rights
Subject to the GDPR, you can ask us to give you access to your data, correct it, delete it, restrict or object to processing, or provide it in a portable form. To exercise any of these, email kristijonas@proconf.lt and we will respond within the time the law allows. If you believe we have handled your data wrongly, you can also complain to your local data protection authority. Ours is the State Data Protection Inspectorate (Valstybinė duomenų apsaugos inspekcija) in Lithuania.
Cookies
Kalamo uses one strictly necessary cookie to keep you signed in to an organization account. It is first-party, it is not used for advertising or cross-site tracking, and because it is essential to a service you asked for it does not require a consent banner. We do not run third-party analytics or advertising trackers.
Children
Kalamo is not directed at children and is not intended for them to sign up for on their own. When a school or other organization uses Kalamo in a setting that includes minors, the organization is the controller for that use and is responsible for the appropriate consents under our Data Processing Agreement.
Changes
We may update this policy as the service evolves. When we do, we change the version and effective date at the top. Material changes that affect you will be notified by a reasonable means.
